ErosBoda is a wedding planner. Couples use it to keep their guest list, send invitations and collect replies. This page explains what we store, why, where it lives and how to have it removed. It is written to be read, not skimmed past.
Who is responsible
The operator named at the top of this page runs ErosBoda and is the controller of couples’ account data.
For guests it works differently. When a couple adds their guests, the couple decides what to collect and why. The couple is the controller of their guests’ data, and ErosBoda processes it on the couple’s behalf and instructions. If you are a guest and want to see, change or remove what a couple holds about you, the couple is your first contact. We help the couple do that, and you can write to us too.
What we store
- Couples’ accounts. Name, email address and sign-in details, held through Clerk, our sign-in provider.
- The wedding. Dates, the parts of the day, venues, invitation types, message templates, budget notes and the table plan.
- Guests. Names, email addresses and phone numbers, the language to write to them in, which parts of the day they are invited to, their replies, their dietary needs, their accessibility needs, notes the couple adds, and where they sit.
- The sending log. Which message went to which household, by which channel, and when.
- Server logs. IP addresses and request details, kept for a short time to keep the service secure and running.
We do not collect anything else, and we do not buy or combine data from other sources.
Why we use it
Only to run the planner: to show a couple their wedding, send the invitations and reminders they ask us to send, show each household its reply page, and produce table plans and caterer sheets. We do not use the data for advertising or profiling, and we never sell it.
Dietary and accessibility details can reveal something about a guest’s health or beliefs. Couples collect them to look after their guests on the day, guests enter and update them themselves on their reply page, and we show them only to the couple and on the sheets the couple prints for the caterer and the venue.
Where it lives and who helps us
ErosBoda runs on DigitalOcean servers in Frankfurt, Germany, in the EU. Data travels encrypted between your browser and our servers. Three companies process data for us:
- DigitalOcean hosts the application and the database, in Frankfurt.
- Clerk handles sign-in for couples: accounts, passwords and sessions.
- Resend sends the emails that couples ask us to send.
Clerk and Resend are based in the United States and process data under contracts that include the EU’s standard contractual clauses. Nobody else receives personal data from us, unless the law requires it.
Cookies
The only cookies are the ones that keep a couple signed in to the planner at app.erosboda.com. There are no analytics or advertising cookies anywhere, and this website sets none at all.
How long we keep it
A wedding stays for as long as the couple keeps their account. A couple can delete guests and households at any time, and can ask us to delete the whole wedding and their account. We do that within 30 days, and copies in backups expire within a further 30 days. Server logs are kept for no more than 30 days.
Your rights
Whether you are a couple or a guest, you can ask to see the data we hold about you, have it corrected or deleted, receive a copy, or object to how it is used. Couples can export their guests and replies as a CSV at any time from the planner. For anything else, write to the contact address at the top of this page and we will reply within a month. You can also complain to a data protection authority: ours is the Spanish one, the Agencia Española de Protección de Datos (AEPD), and you may also go to the one where you live.
Changes
If this page changes, the new version appears here with a new date. For changes that matter, we tell couples by email.
